ABOUT THE JOB 
 
Position type: Permanent, full-time (40 hours/week)
 
Compensation: $25.25-26.05/hour, commensurate with experience

Job Summary:
The Development Operations Coordinator works closely with the Manager of Development and Communications to support the fundraising operations, systems, reporting, and donor management needs of Mission Possible. This position plays a key role in helping the Development Team operate smoothly and consistently by supporting CRM management, operational coordination, reporting, story collection, and event logistics.
 
Working Conditions:
The Development Operations Coordinator will report to the Manager of Development and Communications, and will work closely with other members of the Development Team, and other Mission Possible staff. They will interact with community partners, volunteers, and program participants. Most work will take place in the Mission Possible’s office, with some flexibility for hybrid work. Some rare off-site work may occur, including assisting with fundraising event activities.
 
 

Key Areas of Responsibility: 

  • Fundraising Development Support

    • Support the operational and administrative needs of Mission Possible’s fundraising activities, campaigns, and events

    • Provide administrative and logistical support for fundraising events and donor engagement activities as needed

    • Assist with auction coordination including tracking silent auction and raffle prizes, donor correspondence, and prize fulfillment

    • Track sponsorships, donations, auction items, invoices, and related fundraising reporting to help maintain accurate event and revenue information

    • Pick up donations, event materials, and supplies with a personal or company vehicle as needed

  • Donor Management 

    • Manage donor database (CRM) records and transactions to help maintain accurate donor information, reporting, and fundraising workflows

    • Support donor data integrity, gift tracking, tax receipting, and related administrative processes

    • Manage records and relationships with third-party donation platforms including Canada Helps, CHIMP, and Benevity

  • Story & Communications Support

    • Interview past and present program participants and gather stories, quotes, and impact information for fundraising, stewardship, grant applications, and communications materials

    • Coordinate and organize story information and related documentation for development and communications needs

    • Assist with selected donor-facing communications projects as needed

  • Administrative Support

    • Book meetings and support scheduling coordination for development activities as needed

    • Support volunteers, practicum students, and other assistants in their roles, including answering questions, delegating tasks, and mentoring them as needed.

    • Support the Chief Development Officer and Development Team with operational and administrative tasks as needed

  • Other tasks as requested by the Manager of Development and Communications

You naturally keep things organized, accurate, and running smoothly behind the scenes. You notice when details are slipping, systems are unclear, or workflows could function better, and you enjoy bringing structure, clarity, and consistency to complex work.

This role is ideal for someone who enjoys coordinating moving pieces, improving workflows, managing information accurately, and helping a team operate effectively over time.

You may come from nonprofit operations, administration, project coordination, executive support, office coordination, hospitality operations, events, marketing operations, or another role where you helped keep people, information, and systems organized and functioning smoothly.
 
Our ideal Development Operations Coordinator has:
 
Knowledge, Skills, Abilities
  • Knowledge of CRM Management, especially Keela, Raiser’s Edge NXT, and/or Bloomerang.

  • Ability to conduct interview/focus groups, including with vulnerable populations. Experience with trauma-informed practices is an asset.

  • Spreadsheet management skills

  • Writing and editing skills

  • Excellent Organization/Time Management skills

  • Strong interpersonal communication skills and ability to work collaboratively across departments, as well as with diverse populations

  • Ability to work independently, prioritize responsibilities, and adapt within a growing nonprofit environment

  • Project management experience and/or certification is an asset

  • A proven ability to demonstrate professionalism, respectful workplace conduct, and alignment with Mission Possible’s core values: Compassion, Humility, Empowerment, Support, and Tenacity

Education and Experience 

  • Diploma, certificate, or post-secondary degree in a related field is an asset

  • Experience coordinating operations, administration, donor systems, projects, events, or organizational workflows is an asset

  • Experience working in a nonprofit, community-based, hospitality, administrative, or relationship-oriented environment is an asset

  • Class 5 Driver’s License is an asset

  • Equivalent combinations of experience, training, and lived or professional background will also be considered
